This Privacy Policy describes how Profit Visions s.r.o., trading as LINK-V, processes personal data when you visit link-v.pro, contact us, or use LINK-V products and services such as Timeless, Grace Mail, or Custom deliverables.

2. Personal data we process

We process the following categories of personal data:

  • Data you provide directly: name, email address, phone number, message content, company information, and any other information you choose to share when contacting us, signing up for services, or entering into a contract.
  • Data collected automatically when you visit our website: IP address, browser user agent, page URL, referring URL, session timing, and device type. This data is collected through our own self-hosted analytics and is used solely for understanding how visitors use the site. It is not shared with any third party.
  • Contract and billing data: information necessary for invoicing and accounting, including business identifiers, addresses, and payment details.

3. Purposes and legal basis

We process personal data for the following purposes:

  • To respond to inquiries and communications — based on your request (Article 6(1)(a) and 6(1)(b) GDPR).
  • To perform contracts — including delivering Timeless, Grace Mail, and Custom services, as well as billing and support (Article 6(1)(b) GDPR).
  • To meet legal obligations — including accounting, tax, and statutory record-keeping (Article 6(1)(c) GDPR).
  • To secure and improve our website and services — including basic visitor analytics, security logging, and infrastructure operation. This is based on our legitimate interest in operating a secure and functional service (Article 6(1)(f) GDPR).

4. Cookies and website analytics

We use one cookie, named GDvisitor, which is set when you visit the site. This cookie is persistent and identifies a returning visitor session for our own self-hosted analytics. It does not contain any directly identifiable information about you.

The analytics tracking includes IP address, user agent, page URL, referrer, session timing, and device type. The data is stored on our own infrastructure, is not shared with third parties, and is not used for advertising or behavioral profiling.

You can clear or block this cookie through your browser settings at any time. Doing so will not affect your ability to use the site.

The website does not load Google Analytics, Meta Pixel, or other third-party tracking scripts.

5. Data shared with processors

We use the following categories of processors to operate our services:

  • Infrastructure hosting: Hetzner Online GmbH (Germany) hosts our primary servers within the EU.
  • Accounting and bookkeeping: standard Czech business software and external accounting services as required by Czech law.
  • Email infrastructure: our own Grace Mail infrastructure handles outbound and inbound mail.

We do not sell or rent personal data to third parties under any circumstances. We do not use personal data for advertising profiles. We do not train AI models on your data, including the contents of mail processed through Grace Mail.

6. International transfers

Our infrastructure is located in the European Union by default. Personal data is not transferred outside the EU/EEA except where:

  • a client explicitly requests deployment in another region (for example, an American business choosing US hosting); or
  • a specific tool or service we use as a processor performs limited transfers under standard contractual clauses or other GDPR-compliant safeguards.

7. Retention

We retain personal data only as long as necessary for the purposes described above:

  • Inquiry and contact records: retained while the relationship is active and for a reasonable period afterward in case of follow-up.
  • Contract and billing records: retained for the duration of the contract and for the period required by Czech tax and accounting law (typically 10 years).
  • Website analytics: retained for a limited period appropriate to operational needs and then deleted or anonymized.
  • Email content (Grace Mail clients): retained according to the client's own configuration and the terms of their contract; LINK-V does not access or read message content except where required for technical operation.

8. Your rights under GDPR

Under the General Data Protection Regulation, you have the right to:

  • Access — request a copy of the personal data we hold about you.
  • Rectification — request correction of inaccurate or incomplete data.
  • Erasure ("right to be forgotten") — request deletion of your data, subject to legal retention obligations.
  • Restriction — request that we limit how we process your data in certain circumstances.
  • Portability — request a machine-readable copy of data you have provided to us.
  • Objection — object to processing based on legitimate interest.
  • Withdraw consent — where processing is based on consent, you may withdraw it at any time.

9. Security

We apply appropriate technical and organizational measures to protect personal data, including TLS encryption for data in transit, AES-256 disk encryption at rest where applicable, encrypted backups, access controls, and ongoing security monitoring. No method of electronic transmission or storage is 100% secure, but we work to maintain industry standards of protection.

10. Children

Our services are not specifically directed to children under 16. We do not knowingly collect personal data from children under 16. If we become aware that we have collected such data, we will take steps to delete it. If you believe a child has provided us with personal data, please contact us at privacy@link-v.pro.

11. Automated decision-making

We do not engage in automated decision-making or profiling that produces legal effects or significantly affects individuals.

12. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices, services, or legal requirements.
